Website Privacy Policy

What milecall.com collects, which is very little, what we do with it, and how to ask us about it.

Who we are

MileCall (“we”, “us”) makes scheduling, dispatch and billing software for non-emergency medical transportation providers. We run this website, milecall.com, to describe that software and to take requests for a demo.

This policy explains what the website collects, what we do with it and how to reach us about it. Questions go to info@milecall.com.

What this policy covers

This policy covers milecall.com only: its pages and the Book a demo form.

It does not cover the MileCall software itself. When a transportation provider becomes a customer and signs in, the information inside its workspace, including its riders’ names, addresses, trips and contacts, is handled under that provider’s agreement with MileCall, not under this page. The same goes for the driver app and for the Where’s My Ride pages riders receive by text. If you are a rider or a caregiver, the provider that arranges your trips is the one to ask about your information.

What we collect

We collect only what you choose to type into the Book a demo form, plus the little a website needs in order to work.

The Book a demo form

The form asks for:

  • your name,
  • your work email address,
  • your company’s name,
  • your phone number (optional),
  • your fleet size, chosen from a short list,
  • the software you dispatch with today (optional),
  • a message (optional).

When you send it, the form turns your answers into one email to us. That email also notes the date and time of the request and the network (IP) address it came from, so we can tell a real request from an automated one. There is no account to create, and the email is the only copy we keep: there is no database behind the form.

Keeping the form from being flooded

Our server counts how many requests arrive from each network address over ten minutes and refuses more than a few. The count lives in the server’s memory only, is never written anywhere, and clears by itself. A hidden field that only automated scripts fill in catches bots; a request with that field filled is dropped and nothing from it is kept.

Hosting logs

Like any website, milecall.com is delivered by a hosting provider, Cloudflare. To serve a page and to protect the site from attacks, Cloudflare processes the usual request details: the network address, the page requested, the browser type and the time. We don’t add logging of our own. The site’s fonts and map images are part of the site itself, so viewing a page doesn’t load anything from another company’s servers.

How we use it

We use what you send through the form to reply to you, answer your question and arrange a demo. That is the whole purpose. If the conversation turns into a customer relationship, your details become part of the normal records of that relationship, under its own agreement.

We don’t add you to a newsletter or a marketing list. If you ask us to keep you posted, we will, and you can stop that by replying to any message.

The request details and the hosting logs are used only to keep the site working and to spot abuse.

Cookies, trackers and your theme

We don’t set cookies. There are no analytics, no advertising cookies and no tracking pixels on milecall.com, and no social media buttons that report back to anyone.

The site remembers one thing: whether you chose the light or the dark theme in the header. That choice is kept in your own browser’s storage, on your device, under the name milecall-theme. It is never sent to us. Choosing “System” removes it, and clearing your browser’s site data removes it too.

Our hosting provider may set a short-lived security cookie if it needs to tell a browser from an automated client. It isn’t used to follow you across sites.

Who we share it with

We don’t sell personal information, and we don’t share it with anyone for advertising, including what California law calls cross-context behavioral advertising.

We share it only with services that work for us:

  • Cloudflare hosts the site and delivers the form’s email to us through its email routing service.
  • The email service where that email lands, which is where we read and answer it.

Each works for us under its own terms and privacy policy. Beyond that, we would disclose information only if the law required it, or to protect the site and the people who use it.

How long we keep it

A demo request is kept as long as the conversation it started, and as long as the business relationship that may follow. When neither is live any more we delete it, and we delete it sooner on request.

The flood-protection count clears within ten minutes. Hosting logs are held by Cloudflare under its own retention policy.

Your choices and rights

You can ask us at any time to:

  • tell you what we hold about you,
  • correct it,
  • delete it.

Write to info@milecall.com. We’ll check that the request comes from you by replying to the address on the demo request, and we aim to answer within 30 days. Asking costs nothing, and we treat you the same afterwards.

Do Not Track and Global Privacy Control

Some browsers send a “Do Not Track” header or a Global Privacy Control signal to ask websites not to track visitors or sell their information. We don’t track visitors and don’t sell information, so the site behaves the same with or without those signals. There is nothing to turn off.

Children

This site is written for people who run transportation companies. It isn’t directed to children under 13, and we don’t knowingly collect information from them. If you believe a child has sent us information through the form, write to info@milecall.com and we’ll delete it.

California residents

The California Online Privacy Protection Act asks a website that collects personal information from Californians to say what it collects, who it shares it with, how it responds to Do Not Track signals, how visitors can review and change their information, and when the policy was last updated. The sections above are that statement, and the date at the top is its effective date.

The California Consumer Privacy Act applies to businesses above certain size and revenue thresholds. We don’t claim to meet them, but we give every visitor the same rights whether or not a law requires it: to know what we collect and why (this page), to ask what we hold about you, to have it corrected or deleted, and not to be treated differently for asking. We don’t sell or share personal information, so there is nothing to opt out of.

Under California’s “Shine the Light” law you can also ask whether we have given your personal information to other companies for their own marketing. We haven’t, and we don’t.

Changes to this policy

When this policy changes, we update the date at the top of the page. If a change matters to you, for example something new being collected, we’ll flag it at the top of this page as well. The current version is always at milecall.com/privacy.
